The short version: Assisto AI provides an AI receptionist that barbershops use to handle appointment bookings over WhatsApp, SMS and phone. We collect only what we need to run that service, we use trusted providers to deliver it, we never sell personal information, and you can ask us to access, correct or delete your information at any time by emailing support@getassisto.com.

1. Who we are
Assisto AI ("Assisto", "we", "us") is a software service based in Ontario, Canada. We operate the website getassisto.com and the Assisto AI receptionist. This policy explains how we handle personal information, in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
2. Shops and their customers
We deal with two groups of people:
- Shops — barbershops and other businesses ("Shops") that sign up for Assisto, and the people who manage their accounts.
- Customers — people who message or call a Shop's Assisto number to book, change or cancel an appointment.
When we handle Customer information, we do so on behalf of the Shop the Customer is contacting, to provide the booking service that Shop has chosen. The Shop decides how it uses its customer list and booking history. If you are a Customer and have questions about a particular Shop's practices, you can contact that Shop or us.
3. Information we collect
From Shops
- Account details: name, email address, mobile number and password (passwords are stored in hashed form by our authentication provider).
- Shop details: shop name, address, timezone, currency, services, prices, appointment lengths and working hours.
- Subscription and billing details: plan, trial dates and subscription status. Card payments are processed by Stripe; we do not receive or store full card numbers.
- Communications with us, such as support emails.
From Customers
- Phone number and the channel used (WhatsApp, SMS or voice call).
- The name the Customer gives for a booking.
- Message content and recent conversation history with the Shop's Assisto number, and for phone calls, the information needed to complete the booking request.
- Appointment details: service, date, time, length and status (confirmed, rescheduled or cancelled).
Automatically
- Basic technical information needed to run and secure the service, such as timestamps, delivery status of messages and error logs.
- When you sign in to the website, a session token is kept in your browser so you stay signed in. We do not use advertising cookies or sell browsing data.
4. How we use information
- To answer Customers and book, reschedule or cancel appointments in the Shop's calendar.
- To send booking confirmations, appointment reminders and service messages that relate to a Customer's appointment.
- To send Shops their account setup details, schedule summaries, reports, trial and billing notices.
- To show Shops their bookings and statistics in the dashboard.
- To provide support, prevent abuse, keep the service secure and fix problems.
- To comply with legal obligations.
We do not sell personal information, and we do not use Customer information to market other businesses' products to Customers.
5. AI processing
Assisto uses an AI model provided by Anthropic (Claude) to understand messages and write replies. To do this, the relevant message, recent conversation history and the Shop's booking details (such as services, hours and availability) are sent to Anthropic for processing. Under Anthropic's commercial terms, this data is not used to train their models. AI replies can occasionally be wrong, so the Shop's calendar and dashboard remain the record of confirmed appointments.
6. Service providers
We share information only with providers that help us run Assisto, and only as needed for that purpose:

We may also disclose information if required by law, to protect the rights and safety of people or our service, or as part of a merger or sale of the business, in which case this policy will continue to apply.
7. WhatsApp, SMS and opt-out
Customers start conversations by messaging or calling a Shop's Assisto number. We use those conversations to handle the Customer's booking and to send messages about that booking, such as confirmations and reminders. We do not send marketing messages to Customers.
Customers can stop receiving messages at any time by replying STOP. Shops are responsible for having permission to contact their customers and for complying with WhatsApp's Business and Commerce policies and Canada's anti-spam legislation (CASL) when they share their Assisto number.
8. How long we keep information
- Shop account and booking information is kept while the Shop's account is active.
- Conversation history used to give the AI context is limited to the most recent messages for each Customer.
- When a Shop closes its account, we delete or anonymize its account, customer and booking information within 90 days, unless we need to keep some of it to meet legal, tax or accounting requirements.
9. Security
We use encryption in transit (HTTPS), access controls that keep each Shop's data separate, and restricted access to production systems. No system is perfectly secure, but we work to protect information and will notify affected people and authorities of a breach where the law requires.
10. Where information is stored
Assisto is based in Canada, but some of our providers store or process information in other countries, including the United States and the European Union. When information is processed outside Canada, it may be subject to the laws of that country.
11. Your rights
You can ask to access the personal information we hold about you, correct it, or withdraw your consent to its use (which may mean we can no longer provide the service). Email support@getassisto.com and we will respond within 30 days. If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada.
12. Data deletion
Shops: email support@getassisto.com from the email address on your account with the subject "Delete my Assisto account". We will cancel any subscription, release your booking number and delete your data as described in section 8.
Customers: email support@getassisto.com with the subject "Delete my data", and include the phone number you used and the name of the shop you contacted. We will delete your conversation history and contact details and confirm when it's done. Appointment records that a Shop needs for its own business records may be kept in anonymized form.
13. Children
Assisto accounts are for businesses. The service is not directed at children under 13, and we do not knowingly collect their personal information. If you believe a child has provided information to us, contact us and we will delete it.
14. Changes to this policy
We may update this policy as Assisto changes. We will post the new version on this page with a new effective date, and tell Shops by email about significant changes.
